Bingo Recap and thanks to all volunteers
Zumba and Chair Yoga – need more advertising and program structure-definition
Contact lists being divided into Voting members – non voting members – Friends of Golden Gulls (volunteers) and nonresident participants. John Dosch will complete by year end and handover to Doug.
Upcoming events – Trolley Dec 10th – and Holiday party Dec 13th going into the Ocean Star. Holiday party flyer approved by BA and permit to hang in businesses received.
New Member Update – 1 new member has been added to the voting membership.
Treasurers Report –
Committee remains in good condition with funds – Bingo event yielded a profit. Open items remain the unreconciled Boat Trip and Tuesday afternoon Zumba/Chair Yoga proceeds and expenses. Doug Vitale plans to have boat trip reconciled by year end for clean handover to new executive team. Greg stressed the important of following the agreed upon committee finance procedure and having a single source contact with Karen Mills/Endowment funds. Doug Vitale to reinforce the importance of following the agreed upon process.
Council Liaison report – Doug Vitale
Plan a membership push early into 2023 to recruit new members
Current executive committee 2-year terms complete – need volunteers for minimum 3 executive team positions for next year.
Joined Forces group got approval for electronic town sign for Arnold Ave to further advertise all town and committee events.
Doug would like committee to expand into a focus on Senior services in addition to new events.
No December committee meeting
Doug reviewed some other committee events and town activities in the near future.
Bingo Recap
Greg summarized attendees – expenses and event profit. Financial procedure followed for this event with all monies going through the treasurer enabling him to provide a detailed summary.
Zumba/Chair Yoga Recap
Caryn was not in attendance – Cornelia Calderone provided a recap.
Zumba generally has 7-10 attendants and Chair Yoga varies from 3 to 7. Caryn is looking at changing Chair Yoga to 9am if it works for attendees scheduled. Nov 22 sessions are cancelled due to firehouse schedule conflict. Cornelia called participants to cancel.
General group discussion on details around Zumba/Chair Yoga events. It was unclear that a monthly donation of $150 was being given to firehouse – Invoices from instructors were not processed through the Treasurer and included classes in the future and event admission funds not reported to Treasurer. While this was not created as a fund-raising event – it is losing money and needs replanning and better advertising. Cornelia to work with Caryn on program structure so that the committee can vote on the future plans. Doug to reinforce the importance of following the committee finance rules to Caryn.
ICE distribution recap – June Cuzzo
Special thanks to Barbara Walsh – MaryJane Reilly and Joan McClune for bringing this project to completion. Mass mailing distribution completed – project came in $914 under budget – and Senior return forms being received containing accurate and current email/phone numbers. June Cuzzo will update the Senior contact database and forward to Doug Vitale end December. Senior Robocall directory and email distribution list will be updated. ICE project details were shared with neighboring communities and Bayhead is implementing ICE early 2023. Committee voted and approved donating an inventory of leftover ICE wallet inserts to Bayhead as these were donated to us by the Rescue Squad which also services Bayhead.
Trolley Update – Theresa
Trolley participants will meet at Pleasure Park to sing for Winter Wonderland REC event. Theresa will advertise in the Ocean Star and ask for resident requests for Trolley stops. John Dosch will create a trolley route – Theresa will take inventory on leftover luminaries used last year and get battery operated lights. Volunteers needed to set up luminaries at trolley stops. Committee voted and approved Dunkin Donuts trolley break stop. Greg to alert Dunkin Donuts to expect the trolley. Theresa will work with Lorrie Tomlinson to create song word sheets.
Holiday Party Dec 13th 12-3pm
Joan McClune and Maryjane Reilly presented holiday party plans to date . Committee voted and approved Joe Leones quotation for food for the event which included a 35% discount. Party supplies were reviewed and a list of things to purchase was developed. Entertainment planned as Dino leading a group sing-along of holiday music and some oldies. Doug Vitale committed to arranging for sound system in townhall basement being transported to the event by 10am the day of the event for set up and sound check. Theresa will work with Lorrie Tomlinson to print song word sheets, or we will use the firehouse over head projected for song words . Doug working on getting a Santa Claus for the event. Caryn Byrnes agrees to leading the decorating. Beverly will check on student resources from Vo Tech to assist in serving and setting up for the party and Doug will get clarification from townhall on what would be required to work with students. Can we do a hold-harmless agreement?
New Year Transition-
3-5 new executive officers are needed to lead the committee next year. Minimum needed is a Chairperson – Treasurer and Secretary – additional resources could be a Co-chair – and a Social Media person. Doug Vitale will lead this discussion at the January meeting.
2023 calendar of events
New 2023 executive team will develop the calendar of events for 2023 building on the successful events of 2022. Doug reviewed the event approval process- forms and approval and timing needed for townhall . Committee discussion on a February event led by Tracey Lipari for a chocolate making class in February . Committee voted and approved this event for February. Tracey to research costs and report back to committee by email . Beverly suggested a Senior EXPO inviting county – and local service resources for our Seniors. Committee voted and approved having a Senior EXPO. Date to be determined and Beverly volunteered to lead the event. Doug Vitale will check with Erin on the availability of Hackensack Meridian participating in this event for health screenings.
New Business/General discussion
All members consider taking a committee leadership or event lead role next year. Google docs and event electronic sign in in the development for 2023 events.
