Point Beach Arts Committee Meeting Minutes
 
The meeting was held in the office of Borough Hall and was called to order at 7:00 by Chairwoman, Gerrie Vergona. 
 
Attendees: The following members and volunteers were in attendance:  Gerrie Vergona, Paul Kanitra, Laurie Vicari, Marisa Gray, Kim Allen, Jim Inzero, Carmelina Carra, James Dalton, Tracey Jackson, Sonya Fisher, Christopher Cochran, MaryEllen Savage, Linda Patterson, Penny Davies, Mike Corona, Alex Taylor (Jenk’s liaison)
 
Laurie Vicari, Secretary, recorded the minutes of the meeting.
 
The Agenda attached as Exhibit A was presented as the format for the meeting. 
 

  1.  Approval of previous minutes:

 
Laurie moved, and James seconded approval of the minutes from the May 2019 meeting.  Minutes were approved unanimously. 
 

  1. Treasurer’s Report:

 
Marianne England was not in attendance to provide the Treasurer’s Report.   
 
Gerrie Vergona announced that she would soon be moving from her current residence in Point Pleasant Beach and as such would be stepping down as the Chairperson of the Arts Committee.  She indicated, however, that she would still be participating in the Committee in non-Excom role. 
 
Linda Paterson, new member, introduced herself to the members and volunteers in attendance and gave a brief summary of her background, with regards to her event planning expertise. 
 
 

  1.  Upcoming Events
  1. Art Sessions at The White Sands – Mary Ellen is lead.  Status of Sessions.   Linda Paterson volunteered to assist Mary Ellen.  Gerrie advised that Kelly at the White Sands indicated that they are looking to start the sessions after Memorial Day.  Gerrie will facilitate a meeting between Mary Ellen, Linda and Kelly in order for Kelly to receive direction with respect to strategy for the sessions. 
  2. 5/31 Bike/Movie In – Kim is lead. Update on event.   Kim advised that the event was successful and that she would look to set up another similar event this summer.  About 75 people attended, with about 30 additional kids riding their bikes in.  There was no charge for this event, no revenue received.  Kim asked Alex Taylor to provide her with the specs on the popcorn machine that Jenk’s loaned to the Firehouse movie event so that the Committee could look into purchasing one for its own use at future events. 
  3. Band Shell Music Series –  Mike Corona is lead.  Musicians booked for Thursday evenings, 7:00 to 9:00.   Arts Committee is advertising.  Will Series continue?  Prior to Mike arriving to the meeting, James told the Committee members in attendance that Mike was advised a few days prior to this meeting that funding for the Band Shell Music Series had vanished, with  the exception of funding for the Concert prior to the Boat Race, which had been acquired.  Paul reminded everyone that although the Arts Committee had co-branded the Band Shell Music Series, but it was not responsible for organizing the events.  James advised that they had been fielding many calls coming into Ocean County Music asking about the schedule for this year, because it was so popular last year.  Mike then advised that Ocean County Music had lined up musicians, based on confirmation for funding he had previously received.  The total budget for the series was in the $10-$12,000 range.  Mike asked the Committee members to think of fundraising possibilities and that he would go on a month-to-month basis with the concerts based on the total funds raised.  He stated that the reputational risk of the Series was at stake if the concerts would be cancelled at the last minute.   If there are concerts still to be held, the band Third Wave (Laura Di Pasquale’s son) could perform starting at 6:00 prior to the paid artists taking the stage.  
  4. Summer Downtown Music Crawls/Art Crawls – Project sheets were not handed in for the Summer Downtown Music Crawls/Art Crawls, so James or Cathy needs to draft and hand in.  James (lead) for musicians, indicated he has artists lined up to play.   Cathy (business liaison lead)needs to coordinate with Business Owners.  During the meeting James suggested the date of Friday, August 16th to hold the event.  An Arts Cttee member STILL needs to take the lead on Art Walk and coordinate. 
  5. Summer Stock in the Band Shell:   Marisa lead.  She advised that she needs to get kids dates tied down to coordinate with jazz and band camp dates.  It will be a once and done show – minimal amount of $$ needed to put on.  She will complete project sheet once all info is in place. 
  6. Paint with Us in the Gazebo – Gerrie advised that these will not be lessons per se, but an event where artists can come, set up their own easels and paint together.  She said that many artists that painted at the Gala said they were interested in participating.  Mary Ellen will take the lead and Linda will assist.  Penny advised she could assist as well.   The sessions will take place on Thursdays from 10:00 am to 2:00 pm.  This will be a free event. Advertising should take place in the Ocean Star.  Linda also said she could go out to local art groups to advertise and would like the contact info of the artists that participated in the Gala from Gerrie.   
  7. Murals –   Jim lead.  Jim indicated that he was interviewing artists to paint mural on Stella E Luna.  It was also brought up that the building in back of Joe Leone’s may be a candidate for a mural painting.  Alex Taylor advised that all paint supplies had been ordered from Sherwin Williams for the mural to be painted on the south, northfacing side of the Jenk’s South Bath house.  It is anticipated that stenciling work will begin this week and that the mural will hopefully be completed by July 4th holiday week.  Christopher indicated that he was in talks with a major venue (confidential at this time) for filming the entire painting process to be advertised later.  The Committee discussed the branding opportunities for the murals, such as a logo or hashtag or QR code on the corner, combining all murals into one Town-wide branded project.  Alex also advised that an anti-graffiti coating would be applied to the mural after it was completed.  Gerrie reminded Jim and Alex that the legal document that the Town had drafted for this project, which would protect the artists and the building owners, should be signed prior to the project beginning. 
  8. Rock Painting – Kristi lead.  She was not in attendance and a project sheet for this had not been handed in.  Paul contacted her during the meeting and she responded that New Jersey Sand & Gravel donated the rocks, which needed to be picked up and dropped off at the school for painting. She indicated that she needed volunteers to pick up the rocks.   She had previously advised that at least 200 rocks would be painted and placed around town.  They will be hash tagged so that when found it could be reported on social media. 
  9. Summer Movie Night – Kim lead.  She indicated that she would be asking Gail at The Food Shack about hosting a Dinner and Movie night during the summer.  UPDATE:  Kim advised that Gail approved holding a Dine in Movie Night at The Food Shack on Tuesday,  July 16th.  Kim will work on details and prepare a Project Sheet for submission.  Need to get going on advertising now.
  10. Open Mic Nights at Amazon Fruit Bowls – Kristi lead and advised Paul that confirmed dates are July 10, July 24, August 7 and August 21.    
  11. Flash Mob at Tree Lighting/Caroling – Kristi lead – work in progress.  Will take place on November 29th.  Project sheet not handed in yet.   
  12. Sleigh Trolley Performance/Tour – Marisa will take the lead with Brian Papworth.  Project sheet not handed in yet.    

 
 

  1. Storage of Equipment:  Discussed storage options for Arts Committee equipment.  Paul advised that in about 2 months we would be able to use the Boro Hall basement for storage.  Laurie advised that the speaker her Association Community was donating to the Arts Committee would be stored at Ocean County Music, as the space was volunteered by Mike Corona.  Kim advised that the receiver which was purchased could be stored along with the speaker. 

 

  1. Website:  Christopher advised he has access to the town’s website and started his own hosting for the Committee’s website.  Said if the Arts Committee could host its website  on the town’s website, that it would save us $$, and that it was not practical for him to host on his own in the event he was no longer associated with the Committee. Gerrie indicated that the new website would hold and maintain all our documents for easy access by Committee members.   Christopher also said he would hold a WordPress class to teach others how to launch and maintain a website. 

 

  1. 2020 Gala – preparation and project leads.  White Sands has agreed to hose again for 2020.  Need to pin down a date, but would likely be in off season.  Arts Committee will pay for food, but may be able to negotiate with White Sands to donate dessert.   Gerrie advised that she had put together a project plans strategy which would identify project leads and said that Laurie would forward it to Gala Committee leads.  Joylene was identified as the decorating lead, James would take the lead on music, Jim would take the lead for artists. Hopefully Cathy and Kristi would continue with their fundraising leads and other areas that they focused on for the 2019 gala.   Linda volunteered to take on as project lead, but would like to have a co-lead.   We need to decide on a theme.  We should have a strategy for timing of events to take place at the 2020 gala.  White Sands will blast events taking place at the gala on their indoor LED screens so that attendees will know what it taking place and when along with poster boards spaced around detailing timing of events.  Will discuss progress at July meeting. 

 

  1. New Business

 

  1. Sonya advised that she would sponsor a fundraising event at Vintage Van Goghs in October.  It would be a permanent pumpkin painting event to run tentatively on October 19th from 11:00 through 5:30, with sessions rotating in and out during the day.  She expects to be able to host approximately 60 attendees during the day.  Will set separate prices for kids and adults, with a portion of the proceeds going to the Arts Committee.   Will discuss pricing and advertising at July meeting. 
  2. It was suggested that the Arts Committee set up a table at the October Intercoastal Tug of War.  Discuss further at July meeting. 
  3. Carmelina discussed the photography classes that she was hosting at the PPB Library.  They were not very well attended, and were not advertised at all.  Looking for another venue, but the Town Hall facilities would be further tied up going forward because of Court coming back.  Sonya offered her Vintage Van Gogh space out and Kim advised that the Committee projector could be used.  Christopher also said that he would present a drone photography class at the session.  The classes need to be better advertised; Christopher could do so on the website and they should also be in the Ocean Star.  Discuss further at July meeting.
  4. Christopher advised that his work would be coming down in the Municipal Building and that Carmelina’s would be going up.
