Point Beach Arts Committee Meeting Minutes

The meeting was held at the White Sands Banquet Room and was called to order shortly after 7:00 by Chairwoman, Gerrie Vergona.   
Attendees: The following members were in attendance:  Gerrie Vergona, Paul Kanitra, Barbara Russell, Cathy Jamison, Christopher Cochran, Marianne England, Kim Allen, Jim Inzero, Kristi Monticello, Joylene Rock, James Dalton, Tracey Jackson, Laura and Jacqui DiPasquale and Sonya Fisher (new volunteer and owner of Vintage Van Goghs). Laurie Vicari was not present.  Barbara Russell recorded the minutes in her absence.
Status of Halfway to Summer Movie (Jaws and Surf Taco): The movie night held on February 2 was a success.  Big Kudos to Kim Allen for organizing and for her “crew” for their help in setting up and serving during the event.  Special thanks to Paul for operating the Popcorn machine!  Approximately 40 people attended and we brought in $280 in ticket sales and donations.
Balance SheetGerrie handed out the attached Balance Sheet showing our financial activity for 2018 and projection for 1st quarter of 2019.  We need to start maintaining control of our budget going forward.  Note that the beginning balance for 2019 is confirmed by the Borough.  The entries in 2018 may not be complete.  The ending balance is correct.  We just started this accounting upon learning we now have our own designated account.  Reminder:  when expenses are incurred or receipts are received, the sub-Committee Chair or Event Manager must provide a completed purchase order (previously provided) to the Chair.
Art Competition:  Gerrie commented that the 1st Annual Art Competition is linked to the gala as it has been advertised that the award winners will be displayed at the gala.  However, the automated entry form Christopher has been kind enough to offer to develop has not been completed.  Artists are not always computer savvy and are having trouble understanding downloading a PDF, or MSWord document, scanning it in, and submitting.  It is imperative to have the online entry form.
Gala:   Joylene briefed the committee on the status of the Gala.  We met with the Banquet coordinator who walked us around the rooms.  Joylene discussed her vision and plans for exhibits in each room.  She expects that various talent will be stationed strategically around the ballroom and the side room areas showcasing the specific art talent.   Ideas were tossed around by all members on the type of exhibits and artistic talent we should bring in.  James offered up a band for the main ballroom and a couple of individual acoustic musicians to be stationed throughout.  Joylene will be reaching out to artists and planners in the coming weeks to finalize schedules.  Gerrie will reach out to specific artists to determine the amount of workspace each will require.  Additional artists may be contacted to fill open spaces. Christopher will be working on a graphic light interaction throughout the rooms.  Committee voted to appropriate $1,000.00 for the initial budget for Joylene to use as start-up funds.   Advertising and ticket sales are priority in the coming weeks.  Paul has suggested that committee members make it a mission to sell at least 4 tickets.  Marianne will coordinate with Mary Ellen Savage to obtain donations and sponsorships.
Gala committee members will begin weekly status meetings either by phone call or in person starting next week.
White Sands is donating the food and the space and is offering out of town guests a special room fee of $125 plus they will donate 10% back to the committee.
Social Media Update:  Cathy will be sending out blasts for the Art Competition and the Gala.  Gerrie will send Cathy a list of 2019 events coming up to post to the website.
