Point Beach Arts Committee Meeting Minutes

The meeting was held in the office of Borough Hall and was called to order at 7:05 PM by Chairwoman, Gerrie Vergona.
The following members were in attendance:  Gerrie Vergona, Laurie Vicari, Paul Kanitra, Jim Inzero, Kristi Monticello, James Dalton, Marisa Gray, Cathy Jamison, Barbara Russell.
The following volunteers were in attendance:  Holland Paley, Kim Surowicz.
There were no previous meeting minutes to read or approve.
Gerrie advised that the Committee FB page and Instagram accounts were up and running thanks to Cathy and Jackie.  Gerrie said that the media pages were looking for some more context to add and that she wanted to do some type of branding when events were announced.    
Gerrie went over the Process Chart with attendees. 
Paul advised that when thinking about using Town-owned venues for events to take the lead time for the approval process into consideration.  The Council meets every two weeks, so Committees would need to put in for use approval at least 3 to 4 weeks before each planned event.  School schedules would be about the same.  Attendees were also reminded that anyone who participated in a Children’s event would need to have a background check performed and be fingerprinted.   Paul indicated that the Committee would subsidize the background checks and fingerprinting when necessary.  However, the participant only needed to have this performed once.  So, if the participant was a teacher or someone that had previously done children’s activities, they would be able to use that background check for Arts Committee events. 
Kristi asked Cathy if a “month at a glance” calendar could be added to FB.  Cathy advised that she had tried, but it didn’t look good; said she would try again.  Paul suggested that possibly a link at the top of the page for the calendar could be added.  Cathy indicated that she would link PayPay to Social Media events on FB that is provided by the Sub Committees.  Gerrie advised that the Sub Committees should first send info on the planned event to her or Barbara for approval.  That approval will be forwarded to Cathy. 
Marisa stated that she knew the new owner of B2 Bistro and that it could be added to the Venue list. 
Barbara stated that PPB is looking to become Green certified and that she is liaison for this application with the Environmental Committee.  She would be including the Arts Committee information in the application, which was due in September 2018.  She will let the Sub Committee chairs know if she needs more information from them. 
Gerrie advised that the Committee was looking for a volunteer Graphic Designer for poster design to be put up around town.  Cathy said that she could set up a template on Canva and Paul said he would contact Peter Coulos for assistance. 
Holland Paley provided the Committee members with information regarding ideas from Lafayette, Colorado’s Art Council events.  Some included: Up-cycled doors, Art on the Street Sculptures, Alley art murals, Art stones or shells and waterworks.  Paul suggested we move on these ideas quickly, and the attendees agreed and put a priority on the art murals.  Paul suggested that the Committee reach out to store owners to see if they would be amenable to artist work on their properties. 
Marisa indicated that she had many Foundation and Grant contacts and would be meeting with them in the coming week to discuss possible assistance for our Arts Committee. 
Paul indicated that the PPB Chamber of Commerce had agreed to share our events on their Social Media sites going forward. 
It was agreed that August 1, 2018, would be the “Official Launch” of the Point Beach Arts Committee.  Posts on FB and Instagram would let viewers know. 
It was suggested that along the lines of the robocalls coming from the Town regarding issues, that robocalls go out with respect to Arts Committee events.  Paul said he would look into this as a possibility. 
The meeting was adjourned at 8:45 pm.
The next meeting will be held on Monday, August 27, 2018 at 7:00 pm in Borough Hall.
